Specialty Clinic Office Coordinator (Part-Time) - Specialty Clinic

Job Description
-Interacts professionally with physicians, patients/family, and others.
-Responds to inappropriate behavior in a therapeutic manner.
-Consults other departments as appropriate, to provide for an interdisciplinary approach to patient’s needs.
-Meets current documentation standards and policies.
-Demonstrates ability to access Meditech EMR and PACs system as required for the specific clinic provider needs. This also includes demonstrating knowledge of lab requirements for requisitions.
-Maintains established outpatient clinic policies and procedures, objectives, performance improvement program, safety, environmental and infection prevention controls.
-Maintains a safe, comfortable, and therapeutic environment for patients and families in accordance with outpatient clinic standards.
-Answers telephone calls in a professional manner; refers patient problems to outpatient clinic physician/provider.
-Ensures an adequate stock of supplies and proper functioning equipment.
-Assists in cost containment through appropriate ordering and conserving supplies and equipment.
-Maintains a good working relationship with all staff members of the clinic.
-Manages and operates equipment safely and correctly.
-Demonstrates the ability to be flexible, organized, and function under stressful situations.
-Response to the patient is appropriate in emergency or physically distressful situations.
-Obtains co-pays for physicians, copies ID and insurance information for physicians and hospital.
-Assist and set up rooms, paperwork, and provide supplies for 20 different specialists.

-Management Responsibilities:
-Assists with interviews of prospective employees and recommends hiring as appropriate.
-Coordinates individual orientation for all new clinic personnel.
-Ensures clinical staff are available for specific clinics as applicable by scheduling according to patient load, number of providers, and level of care needed.
-Adapts physical setting and equipment for consultants according to the needs of each clinic.
-Completes necessary charge entry as applicable for provider (Pediatric cardiology).
-Maintains accurate records and stats related to clinic visits.
-Participates in preparation of fiscal budget and maintains department needs within budgetary constraints with the Chief Nursing Officer.
-Performs annual evaluations for Specialty Clinic employees in the Halogen system.
-Maintains current policies and procedures for the Specialty Clinic.
-Completes staff timesheets and time keeping tasks in Work Force Ready UKG. This includes tracking attendance occurrences and addressing attendance occurrences.
-Addresses any disciplinary occurrences.
-Holds staff meetings monthly and as needed based on any changes that may arise throughout the year.

Skills/Education
-High School diploma or equivalent (Required)
-Associate degree preferred
-At least one year of medical office experience required
-Knowledge of medical terminology
-Current BLS certification
